Registration fee includes attendance to the scientific sessions (including workshops/tutorials), congress material, welcome reception, coffee breaks.
Banquet tickets may be purchased separately.
Please note: Authors of accepted papers must register before submitting the final camera-ready version and include the abstract code in the registration form. Each accepted paper must be covered by at least one full (regular or member) registration. For authors with more than one accepted paper, the papers exceeding the first can be covered by the "additional paper" fee at 150.00€ each.

**Student/PhD Student: to register as a student, a Proof of status is mandatory. To benefit from the special fee, a submission of your status confirmation (approval letter signed by the Head of Department or copy of your status ID) must be uploaded during the Online registration.
Fees are quoted in euro (EUR), per person, including 22% Italian VAT. Should VAT increase, registration fees will be adjusted accordingly.
Conference is liable for Italian VAT as it is classed under VAT legislation as “services” and therefore VAT is charged by the services provider (organizers of the conference).
Other Italian institutions and companies subjected to VAT-exemption policies will not be charged VAT provided that they can prove their specific VAT exemption status.
CONFIRMATION
At the end of the registration process online, a preliminary confirmation will be sent to the e-mail address provided. Once the payment has been received, the invoice will be issued as final confirmation of your registration.
PAYMENT
By Credit Card: Payments must be made in euros, by credit card or bank transfer (no cash payments are accepted). All major credit cards are accepted (American Express, VISA, Eurocard/Master Card)
By Bank Transfer: Payment of REGULAR FEE via bank transfer only possible until September 1, 2025. After this date, payment by credit card only. Please transfer the payment to:

Please note:
– All transfer charges must be prepaid by the transmitter.
– Personal cheques, company cheques or Euro cheques will not be accepted.
– In case the deadline for registration at early fee has passed before payment of a registration is received, the higher registration fee shall automatically apply.
CANCELLATIONS AND REFUNDS
If you are unable to attend, you need to notify us by sending an e-mail with your name and registration confirmation to iciap2025@aimgroup.eu
You will be refunded according to the following conditions:
Cancellation until July 31, 2025 – Refund of all prepaid fees except for a 15% administration charge
Cancellation after July 31, 2025 – No refund
All approved refunds will be processed and issued 60 days after the Congress.
UNEXPECTED CANCELLATION OF THE EVENT OR IMPOSSIBILITY TO HOLD IT
In the unlikely case that the event cannot be held in whole or in part due to any event beyond the Organizers’ control or force majeure (such as riot, fire, explosion, accident, flood, earthquake, sabotage, strikes, acts of law or regulation by Italian or foreign Authorities, epidemic outbreak, sanitary emergency, etc.) the Congress Organizers cannot be held liable for any damage, cost, or loss incurred, such as registration fee, transportation and accommodation costs, or any other direct or indirect loss or consequential damage.
Depending on their citizenship, delegates may need to obtain a visa before coming to Italy.
It is the delegate’s responsibility to investigate the visa requirements for Italy and to apply for a visa, if necessary.

It is highly recommended to apply in due time, as the visa-issuing procedures could take up to 120 days.
To support visa requests, the Organizing Secretariat provides the following documentation:
- An invitation letter addressed to the visa applicant and a visa request letter addressed to the Italian Embassy, both signed by the CEO of AIM Group International
- Chamber of Commerce Company Registration
The documentation must be downloaded by the delegate from their personal area, after registering their data on the Congress platform.
Please note that:
- Submission of the required documentation does not automatically guarantee visa issuance.
- The Organizers and/or the Organizing Secretariat will not directly contact embassies and consulates on behalf of visa applicants.
- The invitation and visa request letters are not legally or financially binding on the Organizing Secretariat. Expenses related to the conference shall be borne by delegates themselves.

Refund requests for cancellation due to a denied visa must be submitted before the Congress and accompanied by the official visa denial letter from the Italian embassy.
The requests must be addressed to the Organizing Secretariat, at iciap2025@aimgroup.eu.
If approved, the request due to a denied visa will be eligible for a refund of all prepaid fees except for a 15% administration charge until July 31, 2025.
Approved refunds will start being processed and issued 60 days after the congress.
